How to use my A.P. Attendee Manager for submitting AGD members

Let CE Zoom separate out all your AGD members for quick AGD submission.

With CE Zoom’s A.P. Attendee Member Manager, all courses you offer as an AGD PACE course will be separated out for quick reference so you can quickly and easily submit your course roster to AGD.

You must have the upgraded feature to access and utilize the A.P. Attendee Manager.  If you would like to take advantage of this feature please submit a support ticket at support.cezoom.com or call us at (800)876-7590 and let us know you would like to upgrade today.

How to set up my A.P. Attendee Manager

1.  Click on Approved Provider Manager from your company account navigation menu

2.  Click on My Approved Provider Manager

3.  Click Add (this will only be an option if you have upgraded your account)

4.  Click the down arrow in the field called Provider Affiliations to expand a drop-down menu

5.  Select AGD

6. Click Save

1.  Click on Approved Provider Manager from your company account navigation menu

2.  Click on A.P. Attendee Manager. 

 

Understanding the Member Manager Screen

The Member Manager Screen will list all the courses that you have offered as an AGD PACE provider that has had at least one attendee verify the course as an AGD member.

The default filter displays all courses that still have AGD members that are pending submission to AGD.  You can also view all courses that have complete roster submission by changing the filter to No Pending.  

The number in the red circle next to the person icon, will let you know how many attendees are pending their submission to AGD for that course.

The Course Approved Provider Member Manager will display:

  • All the info about the course that is required by AGD when submitting a roster
  • How many attendees you have already submitted, how many attendees are still pending, and how many attendees are marked not found (they verified as AGD members but their name was not found as an AGD member, could not verify the correct attendee, or their member number was incorrect)

  • The attendee's name, their AGD member number, and the attendee's personal info (if you click the little person icon) will be listed for all attendees that select they are an AGD member when verifying an AGD PACE provider course.  All attendees will be automatically listed under the pending bucket.

 

How to use the A.P. Attendee Manager

1.  Click on Approved Provider Manager from your company account navigation menu

2.  Click on A.P. Attendee Manager. 

3.  Click the person icon associated with the course you wish to submit a roster to AGD. 

4. Click on the heading Pending.  This will expand the pending bucket so you can view all attendees that verified the course as an AGD member.  

Prior to 10/22/19 Attendees were not required to enter in their AGD member number if they selected they where an AGD member when verifying to receive CE credit, so if you have attendees without member numbers that verified on or before 10/21/19, you will not have the benefit of exporting their member number and pasting it into the AGD roster submission form, you will have to search their name  to get their member number from the AGD search option:

After 10/21/19 Attendees that select they are an AGD member during the verification process to receive their CE Certificate will be required to input their AGD member number prior to being issued their CE Certificate.  Therefore all attendees that verified after 10/21/19 will have a member number displayed after their name that you can quickly export and paste into the AGD member submission box.  Please note we do not validate the member number they input.  AGD member numbers are only 5 digits, numeric only.  So if you see attendees with member numbers that include letters, are longer or shorter than 5 numbers, you can mark them not found by clicking the crossed-out circle icon associated with their name as AGD will deny the submission, or you can manually search their name and try and find a match. 

5.  Click on the Export Member #'s to export all the AGD attendee member numbers that are pending submission to AGD.

This will automatically copy all member numbers to your clipboard if you are using google chrome.  If you are using Safari you will have to highlight and manually copy the member numbers.

6.  Paste all member numbers into the AGD submission form.  

7.   All attendees that were submitted to AGD via their member number you will check the box by their name and click apply to change their status to submitted.  All remaining attendees search their names within the AGD member search form.  If you find the attendee and submit them in the AGD course roster submission you will check the box by their name and click apply to change them to submitted status.  If their name is not found click the crossed-out circle icon to mark as not found.

8.  Once you have all attendees entered in the AGD course roster submission form complete the AGD roster submission form and submit to AGD.  Course details, included the course title, can be highlighted and copied straight from CE Zoom and pasted into AGD's course roster submission form.

 

9.  Repeat for each course. 

***You have 30 days from the verified on date to submit that attendee to AGD to stay compliant with AGD rules and regulations.  Because CE Zoom has a 2 part authentication process prior to issuing any CE Certificates you will not want to submit an attendee to AGD as completed your course until they have verified on CE Zoom to receive their CE Certificate.
