Professionals can use the tracker to help them to understand why a CE credit is not applied
Each license-specific tracker (transcript, portfolio, CE renewal requirements) will explain why a course does not count.
If your Applied Hours are showing as zero or less than your Completed Hours, it means the course did not meet one or more requirements.
We've outlined the most common reasons below—but with CE Zoom V2, you now have access to Flags, a feature that gives you detailed, course-specific explanations for why your CE credits may not be counting.

Understanding Flags on CE Zoom (V2)
All CE certificates will be stored within your CE Zoom account. However, there are various reasons why CE Credits may not be applied toward your total CE credit requirements.
In CE Zoom V2, we’ve introduced Flags to help you quickly understand why your Applied Hours may not match your Completed Hours.
From the Tracker view, each course entry now includes a “View All” option under the Flags column. These flags provide detailed explanations, such as issues with the provider, educational method, excluded topics, or unmet requirements, that clarify why a course didn’t fully count toward your CE total.
🔎 Note: The Flags feature is available with an upgraded Pro or Elite membership and is designed to give you greater insight and control over your CE compliance.
Checking flags regularly helps ensure you stay on track and address issues early—before they affect your renewal.
Reason 1: Required Not Counted
-
Some sections within a CE transcript are marked as “Required – Not Counted.” This means that while a minimum number of hours or courses must be completed to meet the requirement, the CE credits earned in this section will not be applied toward your total required hours.
You can identify these sections under the “Description” heading in your tracker. If a course falls under this section, it will still need to be completed for compliance, but its hours will not be tallied in your applied credit total.
Reason 2: Max Credit Limits Reached
-
The maximum number of credit hours allowed for this section has been exceeded. The limits set for each CE topic(s)—such as Volunteer Activities—are defined by your state regulatory agency and are reflected in your transcript.
In the example below, a maximum of 4.00 credit hours is allowed for the Volunteer Activities section. Any hours earned beyond this limit will be recorded but not applied toward your total CE requirement.
Reason 3: Course Taken from a Non-Approved Provider
-
Some CE requirements specify that courses must be completed through approved educational providers listed by your state or regulatory agency.
If you took a course from a provider not included on the approved list, the Applied Hours will not be counted toward your CE requirements, even if the course was completed and uploaded successfully.
To check if a section has required approved providers, expand the tracker section and look for the “Required Approved Providers” list.
Understanding Provider Lists:
-
Required Approved Providers: These are required. Only courses from these providers will count. If applicable, you’ll see a section labeled “Required Approved Providers” within your CE tracker.
-
Suggested Providers: These are recommended but not mandatory. The regulatory body recognizes these providers, but CE credit may still be accepted from others.
-
Restricted Providers: These are not accepted. Any course completed through a restricted provider will not be applied toward your CE.
Return to quick links🔎 Note: If a tracker section does not require or suggest specific providers, no provider list will appear.
Reason 4: The Course Was Not Taken by an Allowed Educational Method
Some CE requirements must be completed using specific educational formats (e.g., live, in-person, or online with testing). If a course is taken using a method not listed as allowed, CE credit will not be applied, even if the course was completed successfully.
To check what methods are allowed for a particular section:
-
Expand the requirement section on your CE tracker.
-
Look for a “View” button under the Required Educational Methods row.
-
Click the button to see the list of approved delivery formats for that requirement.
Return to quick links⚠️ Be sure to confirm the educational method before taking a course to avoid disqualification.
Reason 5: EXCLUSION GROUPS
Exclusion Groups are typically listed at the bottom of your transcript under sections such as “Excluded” or “Courses Not Eligible for CE Credit.” This section contains all CE activities that do not meet your state regulatory agency’s criteria and therefore do not count toward your CE requirement.
To see which topics are excluded:
-
Expand the Exclusion section in your CE tracker.
-
Click to expand the Course Topics list.
🔎 Note: Topics listed in this section are not bad or irrelevant. Many may be valuable and beneficial to your professional growth. However, the regulatory agencies do not allow CE credit for these specific topics.
