Understanding How to Manage Licenses on CE Zoom (V2)

Learn how to add, edit, and renew the status of your professional licenses in CE Zoom (V2)

The License Manager in CE Zoom (V2) allows you to easily maintain and update your professional license information. This overview article serves as a starting point to help you understand how to add a new license, edit an existing license, or renew the status of a current license.

License Manager Overview

1.  Licensing Periods vs. CE Renewal Periods

It’s important to understand the difference between Licensing Periods and CE Renewal Periods, as they determine how your license and continuing education (CE) requirements are tracked.

Licensing Period

  • Represents the active dates of your license as issued by your regulatory body.

  • Each time you renew your license, a new licensing period begins and ends according to the official renewal dates.

CE Renewal Period

  • Represents the timeframe in which your CE requirements must be completed to maintain your license.

  • This period defines when CE activities count toward meeting your renewal obligations.

How They Work Together

  • In almost all states the Licensing Periods and CE Renewal Periods are identical.

    • This means the start and end dates are automatically linked and cannot be edited separately.

    • If you update one, the other will update as well, since your regulatory body issues newly renewed licenses that align with the CE reporting period.

  • In the few states where these periods differ, you will be able to manage each independently.

    • This allows you to accurately track your license renewal dates while also managing CE completion within the required CE renewal window.

2. Current CE Renewal Periods

Click this tab to view all active and current renewal periods for each license on your account. 

3. Inactive Licenses

Click here to view past renewal periods tied to your licenses. These are not deactivated licenses, but rather completed renewal periods retained for your records. If your license is upgraded, you can still see how your CE was applied to these periods.

Please note:

  • If a license has been marked inactive, it can be reactivated from the license manager.

4. Add License

Use this button to add a new professional license to your account. 

5. License Table (List of All Licenses)

All licenses you’ve entered into your CE Zoom account will appear in this License Manager table. Each row displays key details about your license, including:

  • License Type (e.g., License, Permit)

  • License Name
  • License/Permit Number

  • Country and State/Province

  • Industry the license belongs to

  • Licensing Period (current license period)

  • CE’s Renewal Periods (tracking windows for CE compliance)

Note: The Licensing Period and CE Renewal Period are listed separately to accommodate regulatory agencies that manage them on different timelines. If your license and CE renewals follow the same cycle, the dates shown will match.

 

6. View All Licenses and CE Reporting Periods

Each renewal period shows the start and end dates and indicates for the license and or CE renewal requirements. This allows you to track and verify how your CE hours are allocated across multiple renewal cycles.

Important Notes

  • We recommend starting with only your most current renewal period or the renewal period that was active on July 1, 2025 or later.

  • CE Zoom is not going to create trackers for renewal periods prior to 2025 on V2.

    • If you choose to add older renewal periods, your tracker may not accurately reflect the CE requirements for those dates.

    • You can still view these historical renewal periods in Legacy CE Zoom if they were previously added and tracked.

Managing Renewal Periods

From this screen, you can:

  • Edit a renewal period: The dates will be highlighted in light blue until saved.

  • Delete a renewal period: The dates will be highlighted in red until saved.

  • Save your updates: Changes are not applied until you click Save.

⚠️ Rules:

  • Renewal periods cannot overlap.

  • Renewal periods with submitted transcripts are locked and cannot be edited.

7. Edit Licenses

If you have more than one renewal period (renewal periods are created by manually renewing your license on CE Zoom to create renewal periods for tracking), you may edit each independently to adjust dates or make corrections.

How to Inactivate/Re-Activate Your License

There may be times when you need to mark a license as inactive in CE Zoom. Common reasons include:

  • You moved and no longer want to keep a license active in a previous state.

  • You changed careers and chose not to renew your license.

  • You completed additional education and now hold a different license.

  • Your licensing agency has placed your license into inactive status.

  • You placed your license in retirement status.

If your situation changes, you can easily re-activate the license in CE Zoom so that it is once again tracked in your account.

 Note: Inactivating a license does not delete it from your account; it simply removes it from active tracking until you re-activate it.

 

8. Delete License

The Delete License option should be used carefully, as it permanently removes a license and all associated renewal periods, and CE records will no longer be allocated to the deleted license, changing your historical data.  

When a license is deleted, it is removed from your account along with its renewal periods and tracking data. If you add the license back later, you can manually edit all CE records to rebuild your history, but this requires significant manual effort. For this reason, we recommend using the “Inactivate” option whenever possible, as it preserves your history and allows for easy re-activation.

Common reasons for deleting a license may include:

  • You accidentally added the wrong license.

  • You no longer wish to track or have any history for this license in CE Zoom.

Important: If you simply no longer maintain or renew a license, we recommend marking it as Inactive instead of deleting it. Inactivation preserves your history and allows you to re-activate the license later if needed.

 

9. View License

The View License option allows you to quickly access a copy of your license if you have uploaded it into CE Zoom. This feature keeps proof of your licensure at your fingertips, making it easy to provide documentation whenever needed.

Why this is helpful:

  • If you work as a temp or move between offices, you can instantly show proof of licensure without carrying a physical copy.

  • You can share or display your license to an employer, colleague, or regulatory body on the spot.

  • Keeps your records organized in one secure place, accessible anytime.

Tip: Be sure to upload a copy of your license in CE Zoom to take full advantage of this feature.

 

 

10. Scroll Bar

Use the horizontal scroll bar to view all columns in the License Manager table.  This allows you to access additional license details that may not be visible on smaller screens or window sizes.
